Job Purpose

Ghent University Global Campus is seeking to appoint a Manager, Laboratory & Research Procurement reporting to the campus management.

The Manager Laboratory & Research Procurement will work with the professors, assistant teaching personnel and campus management to facilitate the procurement activities of laboratory supplies and services in timely manner. The position holder should have a thorough understanding of laboratory management, procurement processes, and regulations ideally in a University or research intuition setting.


You will work towards Laboratory and research KPIs through:


  • Procurement– Establish proper mechanisms, procedures to ensure smooth supply and maintenance of research equipment, consumables, laboratory reagents.


  • Lab organization- Ensure the overall structuring of the labs, inventories, and develop positive synergy between research centres to manage its research budgets accurately, and source for appropriate vendors, manufacturers on behalf of the research centres.

Job Position


This role will provide operational support in monitoring, and administration of majour purchases, service contracts with external stake holders (i.e. suppliers), and expected to have a thoorough knowledge of Korean custom laws (for importing), developing procement policies, guidelines for the betterment of research centre operations. Ideal candidate is expected to have a  genuine intention to optimize research budgets, engage with research centres to come up with procurement plans for the aforementioned purpose. The manager will be required to adhere to the University’s standards and policies, while ensuring ethical standards and discretion.

The successful candidate will be able to perform independently and also work closely with the campus management, accounting and finance office, and Operation and IT office colleagues to ensure smooth operation of the research centres. The right candidate is expected to enhance and contribute positively to the overall ambience of the working environment at GUGC.


Job Description

• Manage the inventories of research centres, and pro-actively provide the periodic reports, analysis, and updates about the inventory status.

  • Liaise with research centres to source for appropriate products, consumables, machinery, equipment etc.

  • Keep a thorough record of all the research centres budgets (practical, operational, and capital expenditures).

  • Adhere and execute standard and ethical practices to source for better pricing, and quotations from vendors. Provide appropriate recommendations to the research centres based on the quotation pricing, specifications, and quality of products.

  • Liaise with suppliers to ensure maintain of research equipment, machineries carried out in timely manner.

  • Maintain a proper data base of product warranties, and service contracts to ensure research centres receives an optimal after sales service from vendors.

  • Coordinate product trainings, upgrades with vendors whenever necessary.

  • Ensure all the research equipment, machinery, reagents are in working condition, and prompt research centres, and take necessary steps to ensure the functionality of all the research items.

  • Coordinate the Incheon Global Campus (IGC) for all the lab related matters (i.e. electricity, water, heating).

  • Prepare and execute all the purchasing orders and liaise with accounting and finance office to arrange for payments, update the expected delivery times to research centres.

  • For substantially expensive purchases, coordinate and execute proper, transparent public bidding process, and update the research centres and campus management about the progress. Ensure to safeguard the best interest of researchers in this regard.

  • Handle all the custom procedures, represent research centres at the custom clearance for those goods, items purchased from overseas territories.

  • Liaise with accounting and finance office to keep accurate records of the research budgets (practical, operational and capital expenditure).

  • Maintain a comprehensive data base of frequent supplier data for the research centre use.

  • Purchasing activities include assisting in supplier selection and the negotiations with suppliers for price, quality, timeless of delivery, specifications and purchase order execution.

  • Responsible for receiving all ordered materials against issued purchased orders, logging materials into inventory, assigning material tracking numbers, initiating material receiving records and verification against initial material receiving specifications.

  • Maintaining knowledge of market conditions, make recommendations, suggestions to professors.

  • Maintain laboratory equipment by developing operations, quality, and troubleshooting procedures, arranging equipment replacement and repair for practical course for both students and researchers.

  • Maintain laboratory information system by identifying needs and problems, recommending improvements, testing, writing user manuals, training employees and maintaining security and confidentiality.




Required Skills

  • Master’s degree in Life Science

  • Sound knowledge about the Korean procurement systems, regulations is a plus

  • Average of 5 years of relevant industry-related experience

  • Good written and oral communication skills in English and Korean

  • Strong organizational and project management skills

  • A pro-active working attitude

  • A strong sense of responsibility, and ability to multi-task

  • A great involvement and strong working ethics

  • The ability to work independently and to function in a team

  • Willingness to work flexible working hours’ time to time, and weekend work may be required in case major University activities (recuperation days will be provided according to Korean labor standards)


Conditions of Service-Summary

  • Number of positons-1

  • This is a permanent full-time position with initial 6 months’ probation period

  • Standard work hours: 9am – 6pm

  • Accommodation-Dormitory is available and offered at a discount; not covered by the university
