Ghent University Global Campus (GUGC) is an integrated campus of Ghent University, Belgium, and the first European university to be part of the Incheon Global Campus (IGC) in Incheon, South Korea. Ghent University Global Campus currently offers three Bachelor of Science programs in Molecular Biotechnology, Environmental Technology, and Food Technology. Job Purpose

Reporting to the Campus management, the Executive coordinator’s duties will include a wide spectrum of administrative support ranging from, coordination of information flow, ensuring precise and timely delivery of senior level administrative services, providing support for ongoing projects, and briefing the Campus management on relevant issues.

In addition, the Executive coordinator will coordinate the daily operation of the Campus management offices, developing and implementing processes that improve the office functionality, time management and professionalism. In addition to providing secretarial services, the position holder should be capable of handling high volume of tasks independently. The post holder must therefore be a good team worker with sound interpersonal skills who will excel in developing relationships with internal and external stake holders of the campus.

This is a key position offering dedicated support to the Campus management and a central point of contact for the wider divisions. As such as the post-holder will be expected to deliver exceptional level of service at all times to the Campus Leadership, and all the internal divisions of the campus.

Job Position

The successful candidate will be driven, ambitious and highly professional, business-minded and proactive with excellent communication skills and high levels of personal integrity. Post holder will be well organized, relentlessly positive and resourceful with an ability to use their own initiative to prioritize the workload an undertake simultaneous and often inter-dependent projects on timely manner.

Post holder will ensure efficient and effective interface with the remainder of the University, external clients and other stakeholders including government agencies. The post holder is expected to work flexibly and collaboratively with the Campus management team.

 

Job Description

  • Prepare documentation and correspondence, memoranda and reports and gather background materials. 


  • Make coordinative decisions regarding planning, organising, and scheduling of work for the Campus management.


  • Manage the full schedule of Campus management’s calendar. 


  • Coordinate travel for the Campus management including air and hotel arrangements, ground transportation, meeting preparation (i.e. presentations, documentation, logistics, etc.). 


  • Prepare meeting packages, attend and record proceedings, prepare and distribute minutes, communicate meeting decisions, and initiate and/or complete any 
required follow-up. 


  • Maintain records and contact information for key external constituencies including government officials and politicians at local, regional, provincial, and national levels. 


  • Respond to and direct requests from all benefactors, in person, via telephone and e-mail. 


  • Keep a track of all the projects Campus management initiated, and conduct follow-ups, reminders whenever necessary.

  • Act as the main liaison point between the internal divisions, external agencies on behalf of the Campus management

  • Other duties more specific to the office of the Campus management may reasonably be assigned.

 

 

Required Skills

  • A recognized university degree (Any discipline)

  • Average of 3 years of relevant industry-related experience

  • Good written and oral communication skills in English and Korean

  • Strong organizational and project management skills

  • A pro-active working attitude

  • A strong sense of responsibility

  • A great involvement and strong working ethics

  • The ability to work independently and to function in a team

  • Proficiency is required in the use of word processing, database and spreadsheet, presentation, email, and electronic calendar software (i.e.MS Word, Access, Excel, PowerPoint and MS Outlook)

  • Ability to relate and work effectively with other University employees, faculty, students and the general public in a collegial, cooperative and respectful manner

  • Ability to work in a fast-paced environment while balancing and prioritizing multiple projects

  • Ability to learn and adapt quickly

  • Ability to manage multiple projects, adjust to changing priorities and perform well under pressure

  • Willingness to work flexible working hours’ time to time, and weekend work may be required

  • Experience working within a University environment is highly desirable

 

Conditions of Service-Summary

  • Number of positons-1

  • This is a permanent full-time position with initial 6 months’ probation period

  • Work hours: 9am – 6pm; weekend work may be required in case of major events, and meetings (recuperation days will be provided)

  • Accommodation-Dormitory is available and offered at a discount; not covered by the university
